IT Policy

Our Company IT Policy is to abide by all current legal controls that are in vogue in our country of incorporation and internationally. Also, we would not maintain any manpower inside the organization which shall be outsourced.

IT Procedures

1 Introduction

1.1 The SMSPL IT Policy (hereafter referred to as the "Policy") is a set of guidelines, rules and behaviors that should be adopted by users of the IT facilities provided by SHANE MARINE SERVICES PRIVATE LIMITED. (hereafter to be referred to as "SMSPL").

1.2 IT facilities refer to computer hardware such as PCs, workstations, printers, copy

machines and other devices supplied and supported by the SMSPL IT department, software, setup and communication resources such as email and internet and intranet access.

1.3 The Policy applies to all users of SMSPL's IT facilities on either a permanent or temporary basis.

1.4 The Policy respects the legislation and laws applicable in each country.

2 General Usage

2.1 The IT facilities provided to users are and shall remain the exclusive property of SMSPL.

2.2 SMSPL's IT facilities shall be used in connection with company business.

2.3 Limited personal use is a privilege but not a right, extended to users.

2.4 All users are expected to exercise responsible and ethical behavior when using SMSPL's IT facilities.

2.5 All users are responsible for the content of the files in their workspace.

2.6 All users must comply with the rules and procedures listed in the Policy without exception.

2.7 Any action that may expose SMSPL to risks of unauthorized access to data, disclosure of information, legal liability, or potential system failure is prohibited and may result in disciplinary action up to and including termination of employment and/or criminal prosecution.

3 Acceptable Use

3.1 You must obey the law and refrain from all actions of a criminal nature,

3.2 You must respect the legal protection afforded by copyright, trade marks, licenses rights and other laws to materials and/or information accessible via SMSPL's IT facilities,

3.3 You must respect the conventions of the networks, lists and working groups that you are a member of,

3.4 You must use SMSPL's IT facilities in a manner which does not interfere with, or disrupt other network users, services or equipment,

3.5 You must respect the privacy of others.

4 Unacceptable Use

4.1 Unacceptable uses include, but are not limited, to the following:

5 SMSPL's Rights and Responsibilities

5.1 SMSPL shall do its best to ensure the overall security of the IT facilities available to users.

5.2 SMSPL shall respect the user rights defined in the Policy.

5.3 SMSPL shall take all relevant precautions when collecting or processing personal data.

5.4 SMSPL shall obtain the licenses or intellectual property rights needed to use SMSPL's IT facilities for business purposes.

5.5 SMSPL shall ensure that data is archived and backed up in accordance with the applicable legislation governing the retention of information.

5.6 SMSPL shall inform users of any changes to the rules, procedures or security methods for the use of SMSPL's IT facilities.

5.7 When sources outside SMSPL request an inspection and/or examination of SMSPL's IT facilities and/or information contained therein, SMSPL will treat information as confidential unless:

5.8 SMSPL reserves the right to inspect and examine any computing resource and/or files or information contained therein at any time, if a breach of confidentiality of information has occurred or if SMSPL suspects a potential breach of confidentiality of information.

5.9 SMSPL reserves the right to decide whether an IT-related action is acceptable or unacceptable use.

5.10 SMSPL reserves the right to access a user's workspace to maintain the system but will respect the user's privacy unless to do so would involve SMSPL in concealment of a criminal offence or prohibit the enforcement of the Policy.

6 Right of Access Policy of Conduct

6.1 Your right of access to SMSPL's IT Policy is a personal right which cannot be transferred.

6.2 You must uphold business confidentiality of information related to SMSPL's business.

6.3 You are responsible for correct and sufficient use of the tools available for maintaining the security of information stored in your workplace.

6.4 You must use your office passwords provided by IT Department. Changes or Disabling of passwords is the discretion of Department Heads, HR of IT Officer

6.5 You must keep your passwords secret and divulge them to no one.

6.6 You must notify SMSPL IT department immediately upon the loss of username and/or password, or if the information has been compromised.

7 Internet & Intranet Policy

7.1 You are responsible for the types of sites you visit and should avoid sites that have illegal or illicit content or might damage the reputation of SMSPL.

7.2 You must not save, publish or distribute pornographic, violent or obscene material in the Internet or Intranet.

7.3 You should be aware of computer viruses and other destructive computer

programs, and take steps to avoid being a victim or unwitting distributor of these programs.

7.4 You must notify SMSPL immediately if you have any suspicion or doubt that your computer system is under attack by a destructive program or virus.

8 Hardware and Software Policy of Conduct

8.1 You must not install services or programs which are not pre-approved by the SMSPL IT department. If in doubt, please refer to the SMSPL IT department for the list of allowed programs.

8.1 You must request the SMSPL IT department's permission before installing any unapproved software.

8.2 You must save business data on SMSPL's Files Server.

8.3 You should not store large amounts of personal information in your system or workstation in such a way as to disrupt normal computer processes. In such cases, SMSPL reserves the right to remove your personal information from your system m or workstation.

9 E-mail Policy

9.1 You should observe proper email etiquette when representing SMSPL, as SMSPL considers the use of emails as an important means of communication

9.2 You should use English as the main communication language for all your messages, whenever possible.

9.3 You must be polite in all your messages.

9.4 You must use appropriate language at all times in your messages. Use of swear words, vulgarities or discriminatory remarks is strictly prohibited.

9.5 You must not advertise the sale of personal property by sending emails to mailing groups within SMSPL.

9.6 You must not send or forward chain letters.

9.7 You must not send mass electronic mailings (spam) or use your system for open mail relay.

9.8 You must not send or forward emails containing libelous, defamatory, offensive, racist or obscene remarks.
